What AI leasing assistants and chatbots do
AI leasing software answers prospect inquiries, qualifies leads, books tours and follows up across email, SMS, web chat and phone without a leasing agent touching the conversation. The newer platforms go further than scripted chatbots: they read availability and pricing from the property management system, handle renewal and maintenance conversations with current residents, and escalate to a human only when a question falls outside what they can resolve.
For a multifamily operator the business case is simple. Leads arrive around the clock, most of them outside office hours, and the first team to respond usually wins the tour. An AI assistant answers in seconds, every time, and it never forgets to follow up on day three and day seven.
Who should buy one
AI leasing pays for itself fastest where lead volume is high relative to staff: lease-ups, portfolios running centralized leasing, communities with a single on-site leasing agent, and student housing with seasonal spikes. Smaller owners benefit too, but the decision there is usually about coverage (answering at 9 pm) rather than headcount.
If your prospects mostly walk in from the street, or your PMS cannot expose availability and tour slots through an API, the value drops sharply. Fix the data plumbing first.
How to choose
Judge vendors on six things, in this order.
- PMS and CRM integration depth. The assistant must read real-time availability, pricing and tour calendars from Yardi, RealPage, Entrata, ResMan, AppFolio, Rent Manager or MRI, and write the lead and every conversation back to your CRM. Ask for a live demo on your own PMS sandbox, not a generic one.
- Channels covered. Email and web chat are table stakes. SMS, inbound voice and outbound calling separate the leaders from the chat widgets. If you run a call center, ask how the AI hands off mid-call.
- Resident workflows, not just prospects. Renewals, delinquency reminders and maintenance intake are where the second year of ROI comes from.
- Fair housing controls. Ask how the vendor tests for disparate treatment in responses, how often prompts are audited, and what the escalation rules are for accommodation requests.
- Measurement. You want lead-to-tour and tour-to-lease conversion by source, response time distribution, and escalation rate, exported to your BI tool, not a vanity dashboard.
- Commercials. Pricing is typically per unit per month or per community per month, sometimes with a platform fee. Some newer vendors price on outcomes (resolved conversations or booked tours). Model the cost against the leasing hours you expect to redeploy.
Vendors listed in this category
The listings on BoostNOI range from enterprise multichannel platforms to point tools. EliseAI positions itself as an agentic AI platform for the full prospect and resident lifecycle across email, SMS, web chat and voice, and is the most-integrated vendor in this category on BoostNOI. Fenix (formerly LeaseHawk) pairs its AI with Funnel workflows and prices on resolution. BetterBot focuses on AI chat and nurture for leasing teams. HappiNest AI, LetHub, DashQ, Leasey.AI, ManyRoofs, Albatroz.AI and Aigentless each automate lead engagement and tour scheduling with different channel mixes. Lea Pro comes from Apartment List, and ELI+ (Colleen AI) was acquired by Entrata in 2024, which matters if Entrata is your PMS. KindredPM and STAN AI extend into maintenance and resident messaging. Hyro and KLaunch (now part of Capacity) are general conversational-AI platforms with real estate use cases rather than multifamily-native products.
Compare any two of them side by side with the Compare tool, and check the Integrations tab on each profile against your own stack before booking a demo.
Implementation notes
Plan on two to four weeks for a straightforward rollout: PMS connection, knowledge base for each community (pet policy, parking, fees, income requirements), tour calendar rules, escalation routing and a soft launch on one or two properties. The most common failure mode is stale community data; assign an owner for keeping policies and specials current, or the assistant will confidently give wrong answers.
Frequently asked questions
Does an AI leasing assistant replace leasing agents? No. It removes the first-response and follow-up workload and lets one agent cover more units or more communities. Tours, applications with exceptions and move-in coordination still need people.
Will it work with my property management system? The leading vendors integrate with the major PMS platforms, but depth varies by platform. Ask specifically whether availability, pricing, tour slots and guest cards sync in both directions on your PMS.
What does AI leasing software cost? Most vendors quote per unit or per community per month, often with a one-time setup fee. Enterprise contracts are negotiated on portfolio size. Request pricing on the vendor profile; the listings here do not publish rate cards.
How do I evaluate fair housing risk? Ask for the vendor's fair housing testing methodology, review transcripts from your own pilot, and confirm that accommodation and assistance-animal questions are routed to a human.
How long does implementation take? Two to four weeks for a single-PMS portfolio is typical; multi-PMS portfolios and custom CRM workflows take longer.
