What tenant and background screening software does
Screening software pulls credit, criminal, eviction and identity data on rental applicants, scores it against your criteria and returns a decision or recommendation to the leasing team, usually inside the application workflow of your property management system. The newer entrants add income verification, document fraud detection and synthetic-identity checks, because fake pay stubs and manufactured identities now drive a large share of bad debt in multifamily.
The category on BoostNOI also includes employment screening firms that serve property management companies as employers, and lease guarantee or cosigner products that help applicants qualify. Read each profile carefully; the use cases are different.
Who should buy one
Every operator that accepts applications needs screening, so the real question is whether your current provider is still fit for purpose. Triggers for switching: rising skips and evictions among approved applicants, manual document review that slows approvals, a PMS migration, or expansion into states and cities with new screening rules (ban-the-box, fair chance housing, limits on criminal history and eviction lookback).
How to choose
- FCRA compliance and adverse action. The vendor must be a consumer reporting agency or a reseller with a documented compliance program, deliver adverse action notices, and support consumer disputes. Ask for their accuracy and dispute statistics.
- Local law support. Confirm the product can apply different criteria by jurisdiction: lookback windows, income-to-rent ratios, source-of-income rules and individualized assessment where required.
- Fraud detection. Document forensics on pay stubs and bank statements, bank-linked income verification as an option, ID verification with liveness checks, and synthetic identity signals. Ask what percentage of applications the vendor flags and how false positives are handled.
- PMS integration. Screening should run inside the application flow in Yardi, RealPage, Entrata, AppFolio, ResMan or Rent Manager, with results and decisions written back to the resident record.
- Speed and completion rates. Measure time to decision and the share of applicants who finish the process. Friction here costs leases.
- Pricing model. Per-report pricing is standard, often passed through as an application fee where state law allows. Fraud and income verification are usually add-ons. Model the total cost per approved lease, not per report.
Vendors listed in this category
Findigs describes itself as an all-in-one rental screening and decisioning platform. Cobblestone combines screening with identity, synthetic and income fraud prevention. Docuverus, Celeri and Get 100 focus on fraud and income verification. Intellirent bundles rental marketing, applications and instant screening and integrates with several PMS platforms. Long-standing resident screening providers listed here include AmRent, American Tenant Screen, ApplyConnect, ApproveShield, AmerUSA, CISI, Landlord Protection Service, LeaseRunner, Listing 2 Leasing and ClearScreening. First Advantage, Asurint, ACRAnet, ACS Data Search, EagleScreen, INTELIFI, ACUTRAQ, AllStar Backgrounds, AllCheck, Inforex, AVS Screening and KCB Screening serve employment screening as well as or instead of resident screening. Cosign is a guarantor alternative for applicants who fall short on credit or income, and Honest Renter offers a personality-based assessment as a supplement, not a replacement, for consumer reports.
Implementation notes
Switching screening providers touches your application form, your criteria matrix, your adverse action templates and your staff training. Run the new provider in parallel on a sample of applications before cutting over, and have counsel review your criteria and notices for each state you operate in.
Frequently asked questions
What is the difference between tenant screening and background screening? Tenant (resident) screening evaluates rental applicants and is governed by the FCRA and fair housing law. Background screening more broadly includes employment checks on your own hires. Several vendors here do both.
Can screening software detect fake pay stubs? Specialized fraud tools analyze document metadata, fonts, math and templates, and can verify income directly through bank data or payroll providers. General credit-and-criminal screening alone will not catch most document fraud.
Does screening integrate with my PMS? Most established providers integrate with the major platforms; check the Integrations section on each vendor profile and ask for a demo on your own PMS.
What does tenant screening cost? Typically a per-report fee that many operators pass through as the application fee, subject to state caps. Fraud detection and income verification are often priced separately.
How do I stay compliant with local screening laws? Choose a provider that supports jurisdiction-specific criteria and individualized assessment, keep a written criteria policy, and have counsel review it whenever you enter a new market.
