What rent payment software does
Rent payment platforms collect rent and other charges electronically (ACH, card, digital wallet, cash at retail), post the payments to the resident ledger in the property management system, and handle the exceptions: returned payments, partial payments, payment plans and delinquency outreach. The category has expanded in three directions: flexible rent products that let residents split rent into installments while the owner is paid in full on the first, rent reporting that builds residents' credit from on-time payments, and rewards programs that attach points or cash back to rent.
Who should buy one
Operators whose PMS payment module is expensive, slow to settle or weak on resident experience are the typical buyers. Owners with high delinquency look at flexible rent and reporting products as retention and collections tools. Canadian operators have their own set of providers because of banking and credit-bureau differences.
How to choose
- Settlement speed and fees. Compare ACH and card costs, who pays them (owner or resident), settlement timing and how chargebacks are handled. Interchange and processing fees add up across thousands of units; negotiate.
- PMS posting. Payments must post automatically to the correct ledger and charge code in Yardi, RealPage, Entrata, AppFolio, ResMan or Rent Manager, with reconciliation reports your accounting team can use.
- Resident experience. Autopay, multiple payment methods, split payments between roommates, cash options for unbanked residents, and notifications before and after payment.
- Flexible rent and reporting. If you want installment plans or credit reporting, understand who carries the credit risk, what residents pay, and how late or missed installments are treated.
- Compliance and security. PCI scope, NACHA rules for ACH, state rules on convenience fees, and data handling for bank credentials.
- Rewards economics. Rewards programs are funded by card interchange or owner fees; confirm the resident sees a real benefit and the owner's cost is understood.
Vendors listed in this category

ClearNow provides online rent payment for landlords and managers, and Aptexx focuses on resident experience software with payments. Flex, Livble and Boom offer flexible or rewarding rent products that split rent into installments; Bilt attaches a rewards program to rent; Esusu, FrontLobby and Chexy report rental payments to credit bureaus (FrontLobby and Chexy serve Canada). NPS Rent Assurance manages rent on behalf of residents to protect occupancy. CSG Forte, Fiserv, Global Payments and HealPay are payment processors and platforms that power rent payments behind the scenes. DepositLink handles earnest money and commissions for real estate companies, and Best Egg is a consumer lender; neither is a rent collection tool.
Implementation notes
Map every charge code and ledger before go-live, and run a month of parallel reconciliation. Communicate fees clearly to residents, and decide the convenience-fee policy with counsel for each state. If you add flexible rent or reporting, enroll a pilot community first and watch delinquency, renewals and support volume.
Frequently asked questions
Does rent payment software integrate with my PMS? Yes for the major platforms, but posting rules differ. Confirm that partial payments, NSFs and refunds post correctly and that reconciliation reports match your bank.
Who pays the processing fees? Models vary: owner-paid, resident-paid convenience fees, or a mix by payment type. State law limits convenience fees in some places.
What is flexible rent? A product that pays the owner in full on the due date while the resident repays in installments through the month, usually for a fee carried by the resident.
Can rent payments build residents' credit? Rent reporting services report on-time payments to one or more credit bureaus, which can raise residents' scores and is a retention selling point.
What does rent payment software cost? Costs are mostly transaction fees (ACH flat fees, card percentage) plus platform fees for some vendors; request pricing on each profile.
